Weak approach Asks an assistant, gets a last date, and tells the farmer he has a week. Nothing is written down.
Stronger approach Uses the assistant to explain the words. Then opens the department page, reads the last date there, and writes the page name and today's date beside it.
Why the stronger approach works Both answers sound the same to the farmer. Only one of them can still be defended a month later, because only one says where the date came from.

Make something yourself Make a check record for one real case. Write the rule, its department page, and the date you read it. Add what the assistant had said instead.
